Choose a meaningful moment

A review invitation makes more sense after the customer has experienced the service it concerns. Map that point in your own process: completion of a visit, receipt of an order or resolution of a request may represent different moments. An invitation sent too early can ask for an opinion the customer cannot yet give. Record the reason for your chosen timing before considering any automated delivery.

Make participation a genuine choice

A clear request explains what the customer is being invited to review and leaves the decision with them. Avoid wording that pressures someone to give a particular score or treats praise as a condition of help. Compare how a proposed system would handle contact preferences, repeat invitations and a customer’s decision not to participate. Private feedback should not decide who is allowed to express a public opinion.

Separate an invitation from a result

Sending a request does not establish that a review was written, approved or published. When assessing review request software, distinguish delivery information from customer responses and platform publication. Each involves a different source of evidence and may require separate permission. ProofNivo describes a planned approach only; it does not currently send invitations, access review platforms or report campaign results. No customer list is needed to explore these principles.

Keep sending controlled and traceable

A proposed request record would identify the completion event, approved destination, sending time and person responsible for the campaign. Duplicate checks and a clear stop mechanism would be prerequisites. Any follow-up should be limited, transparent and suitable for the approved channel.

The product does not currently collect customer lists or send messages. Channel-specific permission, delivery limits, opt-out handling, platform policy and relevant local rules need review before a real pilot.

Measure the process without promises

Useful measures would include eligible completed services, invitations actually delivered, duplicates prevented and customers who chose to respond. An increase in ratings, review counts, search rankings or sales is not established.
