Customer feedback management

From customer feedback to a clear next step.

Customer feedback management for small businesses: route each piece of feedback to the right person, decide what to do about it and close the feedback loop with the customer. ProofNivo’s planned feedback module is built around that customer feedback process.

What it covers

A customer feedback process that ends in action

Collecting feedback is easy. Doing something with it is the hard part.

One feedback inbox

Feedback from forms, emails and conversations in one dated queue.

Owner per item

Every piece of feedback has a person responsible for the next step.

How to act on customer feedback

Classify: fix, explain, thank or escalate.

Closing the feedback loop

Tell the customer what changed, or why it did not.

Patterns over time

See recurring themes without losing individual voices.

Private stays private

Private feedback is never published as a public review.

How it works

Customer feedback management, step by step

  1. 01

    Receive and log

Record the feedback with its source, date and customer context.

  2. 02

    Decide the next step

Fix, explain, thank or escalate, with an owner.

  3. 03

    Close the loop

Reply to the customer and record what happened.

Private feedback is not a public review

A private feedback form is useful: it tells you what went wrong before it becomes a public complaint. But it must never replace a public review request, and it must never be used to decide who gets asked for a review.

ProofNivo is designed to keep the two separate: private feedback goes to an owner for action; review invitations go to every eligible customer.

Closing the feedback loop in practice

Ask for context that can help

Useful feedback explains an experience rather than merely assigning it a number. A business can think about the stage that caused confusion, what the customer expected and what would have made the process easier. Keep questions relevant to that purpose. Asking for unnecessary personal information adds effort without necessarily improving understanding. A concise, open question can provide more direction than a long set of repetitive ratings.

Turn a comment into a responsible decision

Before comparing customer feedback software, decide who can review a comment and what action they can actually take. Some issues concern communication; others require an operational change or a conversation with the customer. Separate observations from assumptions and avoid promising an outcome before the responsible person has checked it. A useful process records what was considered, who owns the next step and whether further information is genuinely necessary.

Keep improvement separate from review selection

Private feedback and public reviews can serve different needs without becoming a filter for favourable opinions. Someone who reports a problem should not lose access to a public-review invitation solely because of that response. ProofNivo’s planned approach keeps this distinction explicit. No feedback form, automated analysis or customer-response workflow is available here. The page explains evaluation questions; it does not collect customer experiences or offer a working feedback service.

FAQ

Feedback questions

What is customer feedback management?

Collecting customer feedback, deciding what to do about each piece, acting on it and telling the customer what happened. ProofNivo’s planned feedback module tracks each step with an owner.

What does closing the feedback loop mean?

Going back to the customer to explain what you changed, or why you did not. It shows the feedback was heard.

Can I use ProofNivo today?

ProofNivo is in early access. Accounts are opened by invitation in small groups. Join the early access list, or use the free guides and templates in the meantime.

Can private feedback stop a bad review?

It should not be used that way. Asking for private feedback first and only inviting happy customers to review is review gating, which Google prohibits.
